The practical answer is: preserve a complete, university-issued academic file from the first admission letter to the final degree and internship evidence. Studying medicine in Vietnam and becoming eligible to practise in India are separate stages. A fee receipt, brochure, WDOMS entry or verbal promise cannot replace the current NMC rules that apply to the student's batch.

Build the file in four stages

Scan each document in colour, keep the original in a secure folder and store a second copy with a parent. File names should include the year and document type, for example 2029-year-4-marksheet.pdf. Avoid altering scans or cropping seals, signatures and reverse-side instructions.
Admission documents are not recognition documents
At admission, the university may ask for a passport, photographs, Class 10 and Class 12 certificates, a medical fitness certificate, NEET evidence where applicable and translated or authenticated copies. These prove that the student was considered for admission. They do not, by themselves, prove that the completed foreign medical qualification will satisfy a later Indian registration process.
Keep the final accepted version of every document. If the university changes a spelling, passport number, date of birth or programme name, request a correction before the student progresses too far. Small inconsistencies can create avoidable questions when transcripts, degree certificates and passports are compared years later.
What to request from the university each year
Students should not wait until graduation to discover that an old document is difficult to obtain. At the end of each academic year, request or download:
- official marksheet or result statement;
- confirmation of enrolment and academic year;
- attendance or progression record where issued;
- updated curriculum or course outline;
- clinical rotation and hospital allocation details; and
- receipts for tuition, hostel and other mandatory charges.
Ask whether the university keeps a student portal record and how graduates request duplicate documents. Confirm the email address and office responsible for transcript verification. Save official email headers and written replies with the file.
Degree, transcript and completion evidence
The final file normally needs more than one certificate. Ask the university what it calls the primary medical qualification and whether the title on the degree matches the title in the admission offer and transcript. Obtain a consolidated transcript showing subjects, credits or marks and the period of study. If the programme issues year-wise marksheets, keep those too.
Request a course-completion or graduation letter if the degree certificate is released later. It should identify the student, programme, dates and university. If a certificate uses Vietnamese and English, check that names and dates match in both versions. Do not assume a provisional certificate will be accepted everywhere as a substitute for the final degree.
Clinical training and internship evidence
Clinical paperwork deserves special attention because a photograph of a hospital is not proof of a student's hours or responsibilities. Keep the clinical timetable, rotation list, logbook, attendance, supervisor signatures and any completion letter. Record the name of each clinical site and the university department that arranged the posting.
Ask in writing:
- Which years include patient-facing training?
- Which language is used for patient interaction and clinical records?
- Who certifies hours and missed-posting make-up work?
- Is internship part of the degree or a separate requirement?
- Will the final certificate state the dates and location of supervised practice?
The current NMC framework should be read directly, including the official FMGL FAQ and the NMC rules and regulations page. Those materials can change or be supplemented by later notices. A university's answer about its curriculum is not the same thing as an NMC eligibility decision.
WDOMS and Vietnamese quality information: useful but limited
The World Directory of Medical Schools explains how school information is maintained and cautions users to understand what a directory entry does and does not establish. Check the exact school identity, campus and programme details. Do not describe a listing as “NMC approved” unless the regulator itself has issued that precise confirmation.
Vietnam's Ministry of Education and Training publishes higher-education quality and admissions information through official systems. These sources can help a family locate institutional information, but they do not remove the need to obtain the student's own degree, transcript and clinical records. Ask the university for its official legal name in Vietnamese and English, registration details and document-verification email.
Translation, authentication and safe document handling
Requirements can differ between the university, an embassy, an Indian authority and a future employer or regulator. Before translating or legalising originals, ask the receiving body for a dated checklist. Confirm whether it requires a certified translation, notarisation, consular legalisation, apostille or direct university verification.
Never hand over the only original without a receipt. Do not send passport scans through an unverified WhatsApp number. A parent should maintain an index with document name, date issued, original location, scan location and the authority that may request it.
A graduation handover checklist
Before the student leaves Vietnam, place these items in one labelled folder:
- passport and visa or residence history;
- admission letter and final enrolment confirmation;
- degree or primary qualification;
- consolidated and year-wise transcripts;
- internship or clinical completion evidence;
- course outline and medium-of-instruction letter, if issued;
- university contact for verification;
- fee-clearance and hostel-clearance letters, if required; and
- certified translations or legalised copies requested by the receiving authority.
Ask the university how long it retains records and how a graduate can request a replacement. Keep digital copies accessible offline because email accounts and student portals may be closed after graduation.
